Privacy Policy

This policy explains what personal data QuoteASAP collects, why, and what rights you have over it. QuoteASAP is currently in early access — this policy will be reviewed properly (including by a solicitor) before general launch, but it reflects how the product genuinely works today rather than generic placeholder text.

Who this covers

This policy applies to visitors of our marketing site and anyone with a QuoteASAP account (an organisation owner or a team member they've invited). It covers data we collect directly from you — we don't buy or receive data about you from third parties.

What we collect

  • Account data: your name, email address, a hashed (never plain-text) password, and the organisation you belong to.
  • Quote content: the customers, line items, prices, branding and other content you put into quotes you create.
  • Usage data: basic technical logs (sign-in times, error reports) used to keep the service running and secure — not used for advertising or sold to anyone.

Why we collect it

To provide the service you've signed up for (creating an account, building and sending quotes, letting your customers view and accept them), to keep the service secure and working, and to contact you about your account or the service itself. We don't use your data for advertising, and we don't sell it.

Who we share it with

We use a small number of infrastructure providers to run QuoteASAP. We don't sell data to anyone, and none of these providers can use your data for their own purposes:

  • Neon — hosts our database (account, organisation and quote data).
  • Vercel — hosts the application and marketing site.

Cookies

We use one functional session cookie to keep you signed in — no third-party advertising or analytics cookies. See our Cookie Policy for the full detail.

How long we keep it

We keep your account and quote data for as long as your account is active, plus a reasonable period afterwards in case you want to reactivate or for legal/accounting reasons. If you ask us to delete your account, we'll delete your personal data except where we're required to keep records (e.g. for tax purposes).

Your rights

If you're in the UK or EU, UK GDPR / the Data Protection Act 2018 give you the right to:

  • Access the personal data we hold about you
  • Ask us to correct data that's inaccurate or incomplete
  • Ask us to delete your data, subject to legal record-keeping requirements
  • Ask us to export your data in a portable format
  • Object to or restrict certain processing

To exercise any of these, contact us at the email below. You also have the right to complain to the UK Information Commissioner's Office (ICO) if you think we've mishandled your data.
