DJ Services Quote Template

Guarantee & booking

Every booking is backed by a full backup-equipment guarantee — if any gear fails on the night, a replacement unit is already on-site or reachable within minutes, at no extra cost.

  • A non-refundable deposit secures your date — DJ availability is exclusive, so booking it turns away every other enquiry for it.
  • Final song requests, timings and any specific announcements are confirmed 2 weeks before the event.
  • Overtime is billed per half hour at the rate shown above, agreed on the night rather than negotiated afterwards.

Questions & answers

S

Sarah

Can you learn a few specific songs for our first dance that aren't in your usual set?

A

Apex Sound & Lighting

Absolutely — send over the tracklist and we'll have it ready. We ask for song requests at least 2 weeks out so there's time to source and test anything unusual.

Reviews

Read the room perfectly all night — the dance floor was never empty.

Sarah & Tom

Turned up early, sound was spot on, zero stress for us on the day.

Why this structure

DJ quotes tend to get rejected not because the price is wrong, but because the customer can't tell what's actually included until the night itself. This structure separates the guaranteed performance time and equipment — the things every booking needs — from the extras a couple or event organiser might want but doesn't need by default. Additional speaker hire is priced separately rather than bundled in, because only some venues (a marquee, a garden, a second room) actually need a second PA stack.

Commonly forgotten

  • Travel and setup time beyond a token "included" line
  • What happens if the event runs over the booked hours
  • Equipment backup, or what happens if gear fails on the night
  • A deposit and cancellation policy specific to a fixed, exclusive date

Terms to get right

State a non-refundable deposit to hold the date — DJ availability is exclusive, so booking one date turns away every other enquiry for it — and a clear overtime rate per extra 30 minutes rather than leaving it to be negotiated on the night.

FAQ

Why is additional speaker hire a separate line item instead of included?

Only some venues need a second PA stack — a marquee, a separate garden area, or a large hall. Pricing it as an optional extra keeps the core quote accurate for the venues that don't need it, instead of quietly building the cost into every quote regardless.

Should I quote a flat fee or an hourly rate?

A flat fee for a standard booking window (e.g. 4 hours) with a clearly priced overtime rate per half hour is easier for a customer to budget against than an open-ended hourly rate.

What if the customer wants a completely different mix of extras?

That's the point of listing them as toggleable optional extras rather than folding a guess into one flat price — the customer decides what they actually want, and the total updates instead of you re-quoting from scratch.
